3 Solution Overview The SAP Best Practices content for Job Pro昀椀le Builder: • Is based on SAP SuccessFactors Job Description Manager 2.0; • Provides an accelerated deployment of the required con昀椀guration settings; • Provides precon昀椀gured content to keep customer can manage talent foundation data, which support talent process in future, such as: • Create family • Create role • Create competency • Map role with job code • May role with competency • Create job pro昀椀le template; • Create and activate job pro昀椀le;  Caution Do not run this activation in an instance which already con昀椀gured job description manager (1.0/2.0). If the customer who con昀椀gured JDM 1.0 and want to migrate to JDM2.0, not scope of the solution, you can contact PS consultant for help. 4 Preparing Implementation 4.1 SAP SuccessFactors Provisioning Settings In the SAP SuccessFactors instance, the following provisioning switches need to be checked in the Company Settings of your company: Edit Company Settings Company Settings : Enable language packs in instance, as default and at a minimum, the English US (en_US) language pack has to be enabled, for other languages, enable them based on customer requirements. Before enabling individual language packs, do not forget to enable the main feature Language Packs 昀椀rstly. Base Set Up Switch Action Language Packs: Do not use Tagalog or English SAP SLS! Enable They do not have any translations in place or are being used solely for internal testing purposes. Use nb_NO for Norwe- gian and sv_SE for Swedish. After the release of b1408, there should be no IDs with _SF (third column). See SuccessFac- tors internal wiki for the latest information on languages. en_US Enable Other languages options, such as de_DE, fr_CA Enabled based on customer requirement For the detailed list of languages, check Localization Scope via SAP Help Portal. Enable below feature for permission of access SAP Best Practices Upgrade Center. Base Set Up Switch Action Enable SAP Best Practices Upgrades in Upgrade Center [Demoable, Not Ready for Production] Enable For Job Description Manager solution, need enable main feature in provisioning manually. If the instance is an auto provisioning one, assume that the feature is already enabled. Base Set Up Switch Action JDM v2.0/Skills Management — requires “Version 12 UI framework (Revolution)”, “Role-based Permis- Enable sion (This disables Administrative Domains)”, “Enable Generic Objects” and “Enable the Attachment Manager” Enable Generic Objects Enable Below features are as part of upgrade center automation, after activation, they will be enabled automatically in your instance. Switch Status Writing Assistant Enabled  Caution Role-based Permission is required and is enabled together with this section. For customers who are already running any talent solution using legacy permission, you need to consider that this disables Administrative Domains and new permission groups and roles need to be created. Select Save Feature.  Note For the default enabled platform part, refer to section More Information [page 21]. 4.2 Creating a User for Activation of SAP Best Practices Content Use In this activity, you create a user to run and check the upgrades for the related SAP Best Practices solution scope if not yet available in the system.  Note We recommend using the User ID UPCAdmin with a valid email address to activate the SAP Best Practices content. Thus, you avoid changing ownership during the activation. If you have already created the same purpose user UPCAdmin for upgrade center automation before, can reuse and add delta permission to permission roles followed section Setup Upgrade Center Admin Role [page 9]. Procedure 1. 2. Choose the company by selecting the company name. 3. Access the activity using one of the following navigation options: Menu Path Edit Company Settings Company Settings 4. Search for Admin Username. 5. Enter the following 昀椀elds: Admin Username Value = UPCAdmin Admin Password Enter password, this password needs to be changed with the 昀椀rst login to a password that’s suitable to your company policy Admin First Name Enter the 昀椀rst name for the admin user Admin Last Name Enter the last name for the admin user Admin Email Enter the Admin’s email address  Caution Enter a valid email address. All logs and status updates regarding the implementation will be sent via mail to this email address. 6. Flag the box I con昀椀rm that customer has provided approval of Super Admin user account creation. 7. Enter a valid email address in the Notify customer by email when the Super Admin user is created. Input email address box. 8. Select the Create Admin to create the admin user. 9. Select Save. Enter your Company ID and select Con昀椀rm. The user has been generated. 4.3 Provide Role-Based Permission Access for Activation Use This section describes the set-up steps necessary to allow the previous created user to manage the role-based permission access. Procedure 1. Log on to your SAP SuccessFactors instance and go to Admin Center from the Home tab. 2. Type Manage Role-Based Permission Access in the tool search box and select the feature/tool from the list. The Manage Role-Based Permission Access page opens. 3. Choose Add User. In the Username 昀椀eld, enter the super admin user name you have created before and choose Search. 4. Select the username UPCAdmin in the Search Users portlet and choose Grant Permission. 5. Log out and log on again as admin user to refresh the assigned role-based permission. Your admin user now has authorization to maintain role-based permissions. 4.4 Manage Upgrade Center Admin Permission For implementing the SAP Best Practices Job Description Manager, some basic permissions are needed to run the activation and to check the result. Only for this purpose, create SAP Best Practices Upgrade Center Admin role and group as described below.  Note The role and group are only needed for the implementation of the SAP Best Practices scope and can be deleted after the 昀椀nalization. 4.4.1 Create Upgrade Center Admin Group 1. Log on to your SAP SuccessFactors instance and go to Admin Center from the Home tab. 2. Type Manage Permission Groups in the tool search box and select the feature/tool from the list. The Manage Permission Groups page opens. 3. Select Create New. The Permission Group page opens. 4. On the De昀椀nitions tab, enter SAP BestPractices Upgrade Center Admin for the group name. 5. In the Choose Group Members: People Pool section, in Pick a category, choose Username. 6. In the Search Results window, select the upgrade center admin name UPCAdmin. 7. Select Done 4.4.2 Setup Upgrade Center Admin Role 1. Log on to your SAP SuccessFactors instance and go to Admin Center from the Home tab. 2. Type Manage Permission Roles in the tool search box and select the feature/tool from the list. The Permission Role List page opens. 3. Select Create New. The Permission Role Detail page opens. Enter SAP BestPractices Upgrade Center Admin for the role name and Upgrade center admin role for the description. 4. In the Permission Settings section, choose Permission. Select Done. You will now revert to the Permission Role Detail page. 6. Scroll down to Grant this role to... section and select Add. On the Grant role to: page Select Permission Group and maintain SAP Best Practices Upgrade Center Admin group. For the target population, select Everyone. 7. Select Done. 8. Choose Save Changes to update the role. 9. Log out and log on again as admin user to refresh the assigned role-based permissions. 4.5 Enable Intelligent Services Intelligent Services is enabled by default in new customer instances. Customers with instances older than Q1/2017 need to use upgrade Center to enable Intelligent Services following Enabling Intelligent Services and Retrieving SuccessStore Rules with Upgrade Center | SAP Help Portal. After the upgrade, perform the following steps: 1. Log on to your SAP SuccessFactors instance and go to Admin Center from the Home tab. 2. Go to the super admin permission role, choose Permission. Under Administrator Permissions Intelligent Services Tools enable as follows: Intelligent Services Tools Selection Intelligent Services Center (ISC) X 3. Choose Save Changes. 5 Implementation The solution is implemented by the following content in the Upgrade Center according to the prede昀椀ned sequence. The SAP Best Practices solution contains the common foundation, which provides the required succession data models, picklists. After the automated implementation, additional post-processing steps are required. Those are described in the section Post-Processing. Based on the provided con昀椀guration workbook and RBP workbooks, the SAP Best Practices solution precon昀椀guration can be adapted to the customer requirements. Download Test Scripts and Process Diagrams from SAP Help Portal. • Test Scripts provide a detailed process step description of the business scenario and • Process Diagrams contain a graphical overview of the process 昀氀ow. 5.1 Running Activation 1. Log on to your SAP SuccessFactors instance and go to Admin Center. 2. Type Upgrade Center in the tool search box and select the feature/tool from the list. 3. On the Welcome to the SuccessFactors Upgrade Center page 昀椀lter by SAP Best Practices. In the Recommended Upgrades section you will 昀椀nd the Best Practices Job Pro昀椀le Builder. 4. Select Learn More & Upgrade Now. 5. On the Best Practices Job Pro昀椀le Builder page select Upgrade Now. 6. In the dialog box select Yes for: Are you sure you want to upgrade to Best Practices Job Pro昀椀le Builder?  Note You will not be able to undo this feature once it is upgraded. 7. A dialog screen con昀椀rms the update and that the activation is executed in the background.  Caution • Do not run several activations in parallel. This ensures an error free running of each activation. • Wait for the completion of each activation. 5.2 Tracking Process The activation schedules several background jobs for executing each single con昀椀guration step. After triggering the activation of content several mails will be sent out to the user UPCAdmin who triggered the activation in upgrade center: • One with the subject Upgrade Center Noti昀椀cation: Best Practices Job Pro昀椀le Builder Upgrade Status which provides you the 昀椀nal status of the upgrade. • One with a detailed log of the di昀昀erent con昀椀guration steps and their status.  Note Errors are shown as BPMsg in the detailed log, for example BPMsg: COMMON_DG_ERR_GROUP_EXIST () Job Pro昀椀le Builder: Getting Started Implementation PUBLIC 13

6 Post-Processing 6.1 Setup Super Admin  Caution Super admin role SFCC Super Admin and group SFCC Super Admin Group are created as part of the automation. Role SFCC Super Admin covers all required permissions for doing con昀椀guration and running the business processes. You can follow step Create Super Admin User [page 14] to create super user who will execute Post - Processing. If any suitable super user already exists in the company, skip the step Create Super Admin User to Assign Super Admin User into Permission Group [page 16] directly. 6.1.1 Create Super Admin User Use This section describes how to create a super admin user if customer does not have. This user is used for the business process execution and the further con昀椀guration. Procedure 1. Log on to your SAP SuccessFactors instance with user UPCAdmin and go to Admin Center using the following information: Link https://.successfactors.com/login Menu Path Home Admin Center 2. In Admin Center, via Import Employee Data functionality. To do so follow the steps below: • Type Employee Import in the tool search box and select the feature/tool from the list. • Choose Download a blank CSV Template Basic Import and save the 昀椀le on a share. • Fill the 昀椀le with the following information: Job Pro昀椀le Builder: Getting Started Post-Processing 14 PUBLIC

Type Reset User Passwords in the tool search box and select the feature/tool from the list. 4. On the Resetting User Passwords screen, search for the newly created user. 6.1.2 Provide Role-Based Permission Access for Super Admin Use This section describes the set-up steps necessary to allow the previous created super admin to manage the role-based permission access. Procedure 1. Log on to your SAP SuccessFactors instance with user UPCAdmin and go to Admin Center from the Home tab. 2. Type Manage Role-Based Permission Access in the tool search box and select the feature/tool from the list. The Manage Role-Based Permission Access page opens. 3. Choose Add User. In the Username 昀椀eld, enter super admin user name you have created before and choose Search. 4. Select the Username in the Search Users portlet and choose Grant Permission. 5. Log out and log on again as super admin user to refresh the assigned role-based permission. Your super admin user now has authorization to maintain role-based permissions. 6.1.3 Assign Super Admin User into Permission Group Use This section describes how to assign the super admin user into the super admin group SFCC Super Admin Group which delivered in automation. Procedure 1. Menu Path Home Admin Center 2. Type Manage Permission Groups in the tool search box and select the feature or tool from the list. The Manage Permission Groups page opens, then select group SFCC Super Admin Group. 3. In the Choose Group Members: People Pool section, in Pick a category, choose User name. 4. In the Search Results window, select the super admin user create in pre-step. 5. Select Done. 6.2 Create Roles Mapping with Job Codes  Note For the customers who use SAP SuccessFactors Employee Central module need to operate this step to map roles and job codes. Procedure 1. Log on to your SAP SuccessFactors instance and go to Admin Center using the following information: Link https://.successfactors.com/login Menu Path Home Admin Center 2. Type Manage Job Pro昀椀le Content in the tool search box and select the feature/tool from the list. 3. Select Set Up Families and Roles from Select Content Type… dropdown. 4. Choose the Roles tab, choose Create Role on the right of the screen. 5. On the Create New Content (Role) page, enter the role name in the Role Name 昀椀eld: Sales. Maintain sample roles as following information, you can adjust in the instance directly to meet your own requirements. 6. Choose family created by step Creating Families from the Family dropdown. 7. Choose the Mapped Job Codes tab, choose Map Job Codes. 8. Entering the 昀椀rst several letters of your job code you want to map until you see a dropdown list. Choose Save. If a role with same name already exists in the instance, the permissions delivered in this upgrade are merged into that role. If no role with same name exists in the instance, a new role with appropriate permissions is created. The group criteria’s must be reworked based on the requirement after the employees/users are available in the system.  Caution When adding later on manually a new permission to SFCC Manager on Direct Reports or SFCC Manager on Team, the restriction in the target population for position might be canceled during saving. In order to prevent this, while adding the new permission, un昀氀ag and then 昀氀ag again a checkbox in the Target population for Position and only then save. Thus, the restriction will be preserved.
